Health Information Administrator Job

The Watson Institute is hiring a full-time Health Information Administrator to support Friendship Academy and the Outpatient Psychological Services Department. This position will work Monday through Friday.

Job Responsibilities:

  • Management/Oversight of Electronic Health Record System: 
    • Performs the duties of a System Administrator through evaluation, design, testing, implementation, upgrades, support, and maintenance of electronic health care record system
    • Collaborates with Friendship Academy clinical staff/Clinical Director, and Program Director in workflow analysis and redesign, implementing new Credible features, as necessary, and ensuring that system functionality is fully utilized.
    • Provides oversight of system access and security, data capture, and information workflow.
    • Works consistently with Credible account manager to maintain system integrity and performance
    • Ensures that information system supports current and future needs of the organization. Works closely with information technology in transition planning, including, but not limited to, testing, installation, and education of staff to produce and maintain high-quality data integrity
    • Monitors daily activities to ensure compliance with federal, state, and other regulatory agency requirements and maintains a thorough understanding of the needs related to clinical documentation standards
  • Daily Operations: 
    • Copies and distributes educational and clinical information in accordance with state and federal regulations regarding the release of information
    • Software technical expert and primary resource for end-user support
    • Diagnoses problems, evaluates solutions, and communicates resolution to users and management
    • Continuously works to correct and prevent all system issues
    • Supports and empowers clinical staff to effectively utilize EHR system. Provides support and assistance to current users/new staff and ongoing education and training as needed
    • Utilizes troubleshooting and communication skills for both implementation and support for the EHR system.
    • Serves as a liaison and resource to clinical staff, senior management, billing, nurses, psychiatrists, and system vendor.
    • Verifies encounter form accuracy by cross-checking with daily clinical milieu documentation to ensure compliant recordkeeping.
    • Completes and updates required educational documentation within the institution’s designated IEP management system.
  • Data Management
    • Collects and analyzes data for departmental needs and special projects
    • Creates, monitors, and provides weekly reports and queries of employee productivity
    • Oversees e-prescribing system, SureScripts, to ensure consistent, accurate functionality that meets the needs of nurses and doctors.
    • Creates and manages tools such as instructional manuals in order to promote the effective use of system. Provides documentation and training for users when there is a system change or update.
    • Preparation for audits, including DHS, CCBHO, and VBH
  • Other duties as assigned by supervisor

Job Requirements:

  • Bachelor’s Degree in Health Information Management, Healthcare Administration, Health Services Administration, or closely related field preferred; Associate’s degree in related field with relevant experience considered
  • Certification in Health Information Management or Certified Electronic Health Records Specialist (CEHRS) strongly preferred
  • Related work experience is strongly preferred
  • The essential functions of the job described require the ability to exert moderate physical effort in light work, typically involving some combination of bending, stooping, squatting, reaching, kneeling, crouching and brisk walking, and which may involve lifting, carrying, pushing and/or pulling of objects and material of moderate weight (40 pounds)
  • Current Act 34, 114 and 151 clearances required
  • Pre-employment medical examination, including tuberculosis test required
