Receptionist – Friendship Academy

The Watson Institute is hiring a full-time Receptionist at our Watson Institute Friendship Academy special education school. This position will work Monday through Friday, follows Administrative School Calendar.

Receptionist Job Responsibilities:

  • Open front door and internal door electronically for all visitors
  • Receive and direct incoming telephone calls
  • Inform staff personnel when their appointments arrive and have knowledge of where the individual meetings are held
  • Maintain master schedules for the clinical social work staff, doctors and supervisory staff
  • Maintain master schedules and correspondence for IEPs for special education staff
  • Maintain master schedules and correspondence for intake interviews and tours for Directors
  • Maintain all required paperwork for students with changes in their transportation
  • Maintain the staff out list and calendar
  • Maintain LEA and Transportation Director contact list
  • Report student changes during the day as it relates to late arrivals and early dismissals to the classrooms and transportation staff in time for dismissal
  • Order cabs for emergency student transportation with Supervisory assistance
  • Order field trip transportation
  • Take the mail to the Post Office at the end of the day
  • Maintain standard office procedures which include typing/work processing
  • Work according to Friendship Academy’s policies regarding the clients’ confidentiality procedures as they relate to the partial hospital and education programs
  • Serve as back up to the education secretary and partial hospital secretary for Friendship Academy’s projects if necessary
  • Other duties as assigned

Receptionist Job Requirements:

  • High school diploma required
  • At least two years school/office experience preferred
  • Proficiency with Microsoft Office Suite (i.e. Word, Excel, ACCESS Data Base, etc.)
  • Excellent interpersonal and oral communication skills preferred
  • Essential functions of this position described require the ability to exert moderate physical effort in light work, typically involving some combination of bending, stooping, squatting, reaching, kneeling, crouching and brisk walking. It may also involve lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (40 pounds)
  • Current PA Acts 34, 114 and 151 clearances required
